Automated Decision-Making

We use automated tools to enhance the efficiency and accuracy of our recruitment process, while ensuring that final hiring decisions are always made by humans. For example, we may use automated tools (e.g., Pinpoint) to shortlist candidates based on predefined, objective criteria, such as having the legal right to work in the country of the vacancy.

Separately, we utilize a tool called Metaview.ai to record and transcribe interviews. This is used strictly for accurate note-taking and to allow our recruitment team to refer back to conversations. Candidates are always notified before a session begins and may provide or withdraw consent at any time using the consent link in the interview invitation. Crucially, the transcripts and summaries generated by Metaview.ai are not used to make or assist in making any hiring decisions.

In all cases, final evaluative choices and hiring decisions are made by our personnel. We are committed to complying with all applicable laws regarding Automated Employment Decision Tools (AEDT), such as those in New York City. This includes providing legally required notices for any tool used to substantially assist or replace discretionary decision-making.

Data Sharing
  • We may share your data with:
  • Pinpoint Software (as our data processor).
  • Internal hiring managers and HR personnel.
  • Third-party service providers (e.g. background check vendors).
  • Legal or regulatory authorities when required.

International Transfers

Your data may be stored in Pinpoint data centres in Amsterdam and London. Interact also has staff in the UK, EEA, UAE, and US who may access your data, only if they are part of the recruitment process as interviewers, note takers or internal parties relevant to the recruitment process. We ensure appropriate safeguards are in place for all international transfers. These safeguards may include, but are not limited to, the use of Standard Contractual Clauses (SCCs) or other data transfer mechanisms approved by relevant data protection authorities to ensure your data receives a level of protection consistent with applicable laws.

Data Security

We implement robust security measures, including:

  • Access controls and encryption.
  • ISO27001-certified information security practices.
  • Breach detection and notification procedures. These measures represent a combination of administrative, technical, and physical safeguards designed to protect your personal data against unauthorized access, use, or disclosure.
